Booking Policies

Thank you for considering Wild Bear Photography. My sessions are designed to be relaxed, connection-focused, and thoughtfully prepared. The following policies help ensure a smooth experience for all clients and allow me to provide the best service possible.

Booking + Retainer

A signed session agreement and a non-refundable retainer are required to reserve your session date.

Your session is not considered booked until both the contract and retainer have been completed.

The retainer secures your date, covers preparation and planning time, and is applied toward your session. Because I accept a limited number of sessions, I turn away other inquiries once your date is reserved.

Rescheduling

I understand that life with little ones can be unpredictable.

You may reschedule your session one time with at least 48 hours notice at no additional charge. The new date must take place within 60 days of the original session, subject to availability.

Reschedule requests made with less than 48 hours notice may require a new retainer.

In the case of illness (especially children), please contact me as soon as possible — I will always do my best to accommodate and prioritize health and safety.

Weather

Outdoor sessions may be rescheduled due to unsafe or poor weather conditions at the photographer’s discretion. Overcast skies are not considered poor weather, as they often create beautiful soft light.

If weather requires rescheduling, your retainer will transfer to a new mutually agreed upon date.

Cancellations

The retainer is non-refundable in the event of cancellation.

If you cancel your session entirely and choose not to reschedule, the retainer will be forfeited.

Late Arrivals

Sessions are scheduled carefully around lighting conditions, particularly golden hour.

Late arrivals will result in a shortened session time. If arrival is more than 20 minutes late, the session may be cancelled and the retainer forfeited.

Image Delivery

Your proofing gallery will be delivered within approximately 2–3 weeks after your session.

You will select your included images from the gallery. Additional images and full gallery upgrades are available for purchase.

Final edited images are delivered digitally through a private online gallery.

Digital Files + Usage

Purchased images include a personal use license. This allows printing, sharing on social media, and personal use.

Images may not be altered, edited, or used for commercial purposes without written permission.

Wild Bear Photography retains the copyright to all images and may use photographs for portfolio, website, social media, and promotional purposes unless otherwise requested in writing prior to the session.

Refund Policy

Due to the custom nature of photography services, all payments are non-refundable once services have been rendered.

If you experience an issue with your gallery, please contact me within 7 days of delivery and I will happily work with you to resolve concerns.

Payment + Products

All payments for image upgrades and products are processed securely through an online gallery storefront.

Digital images, prints, and products are non-refundable once delivered or ordered.
